You meet someone at a Monday networking event. You have a great conversation and make a real connection. You exchange cards, shake hands and go your separate ways.
By Thursday the card is still in your pocket or maybe joined the pile on your desk. By Friday you’ve moved on. So have they.
The problem isn’t the conversation. That usually goes smoothly. The problem is what happens afterwards. And after years of watching my own good contacts go cold, I decided to fix it. First for myself and then for my clients.
Here’s the system I built that captures every new contact I meet at a networking event and it takes just ten seconds. I don’t even have to ask my new friend to type a single thing.
Why Do Business Cards Go Cold After Networking Events?
It’s not laziness. It’s not a character flaw. It’s that you are busy.
Following up with new contacts you meet is very important, but it’s not urgent. Failing to follow-up happens when something you need to do has no system underneath it. The moment passes, the card goes in the pile, and a potential client quietly disappears.
Most business owners I talk to know this problem intimately. They’ve lived it hundreds of times. What they don’t know is that there’s a fix — and it costs about ten dollars. (That’s not a misprint. It’s actually less than $10.)
What Is the Fastest Way to Capture a Contact at a Networking Event?
Before I show you how I do it, here’s the bar I set for myself when I built this system.
It had to take no more than ten seconds at the networking event. It couldn’t require my new contact have an app on their phone. It had to work on both iPhone and Android. And it had to get the contact right into my CRM automatically. It could NOT require me doing anything manually after the conversation.
I tried a good number of solutions that failed at least one of those tests. Scanning business cards with an app takes too long and requires a step I need to complete after the conversation. Asking someone to fill out a form at a network event adds friction. Exchanging contacts via AirDrop only works iPhone to iPhone and it’s hit-or-miss. It doesn’t work consistently.
What finally worked was something all of us carry in our pocket every day and never think of as a business tool.
How Do NFC Tags Work for Small Business Networking?
NFC stands for Near Field Communication. It’s what allows your phone to make Apple Pay work when you tap your phone at checkout. Your phone has an NFC chip built in. When you get about an inch away from another NFC chip — the two chips communicate and trigger an action.
Your new contact doesn’t need an app on their phone. No Bluetooth. No WiFi. Just tap.
You can buy small NFC cards, tags or stickers for under ten dollars. I got 30 stickers I stick to a business card from Amazon for $9.62. I can program them with specific instructions. What I do is give instructions to open the other person’s messaging app with a pre-written text message ready to send.
They tap their phone to my card. Their messaging app opens. My number is already in the To field. A keyword is typed in the message body. They tap send. Done.
There’s no typing. No app. No friction. It ten seconds from conversation to captured contact.
How Do I Get a New Contact Into My CRM Without Them Typing Anything?
Here’s my specific setup.
I bring one of these cards to networking events. I have several versions. I use one for BNI meetings, another for chamber events and another for my “other” new contacts. Each card is programmed with a keyword — BNI, CHAMBER, or OTHER — that gets texted to my phone so the system knows which introduction to send. (You can create your own set.)
When someone taps a card, their text lands in my CRM. I use HighLevel (also known as GoHighLevel). It recognizes the keyword automatically, creates the contact in my CRM and sends out an introduction text and email to my contact. This happens in a matter of seconds.
This can be enhanced to ask the contact for their first na me. You can make it as simple or complex as you like.
By the time I leave the event, the person I just met has already heard from me via text. It connects our in-person meeting with an online connection.
What Happens After Someone Taps My NFC Card?
Here’s the full sequence from tap to follow-up, in real time.
We finish our conversation I say, “Let me grab your contact the easy way — tap your phone here.” I hold out my card. They tap. Their messaging app opens with my phone number in the To field. They tap send and we are done.
Their number hits CRM inbox and triggers a workflow to send out my introductions. My message sounds something like, “Hey, it was great meeting you this morning at (BNI or chamber meeting). I’m Jorge Díaz — I help small business owners stop losing leads they already earned. Looking forward to staying in touch.”
The workflow then asks for their first name. They reply. My system updates the record. They’re now in my system, correctly tagged, with a name attached, and a nurture sequence running in the background. I send out two more messages in the week following our first encounter.
I didn’t have to do anything after they tapped. The system handled all of it.
What About Android Phones?
NFC works on most Android phones from 2015 onward — the same tap, the same result. For older phones or phones with cases that block NFC, I have a backup: a QR code on my phone screen programmed with the same SMS link. I can also get a physical card from them which I scan. Once entered into my system, they get the same introduction sequence.
Everyone I meet, no matter what their device, is covered.
Why This Matters Beyond the Tech
I built this system because I got tired of losing contacts I had already earned. The conversations were happening. The connections were real. What was broken was everything that came after the handshake.
This isn’t about technology for its own sake. It’s about making sure every person I meet actually hears from me — quickly, personally, and without me having to remember to do it.
The pile on my desk is empty. It never gets a chance to form.
